An exciting opportunity to join our clients' expanding team in Clare. This supply chain professional will have end to end accountability from sale order processing, purchase management, logistics, material/product delivery, warehouse/stock management, communications, and invoicing. A purchasing specialist ensuring that assigned purchase orders are tracked and confirmed by the supplier to ensure the project teams have all the materials and products that they require at the right time and in the right place.

Key Responsibilities of the Role:
The role can be broken down into four key deliverables – Procurement, Logistics, Warehouse and Contract Support. 
Procurement:

  • Reviewing price templates to ensure the materials requested at the price provided match.
  • Requesting quotes for project materials, reviewing quotes, and process materials order based on best price and quality.
  • Issuing purchase orders and uploading them to system – SAGE.
  • Ensuring all invoices from supplier’s match purchase offer and deal with any mismatches or queries on invoices.
  • Monitor incoming purchase invoices from suppliers ensuring best price and tracking costs.
  • Monthly reports for best price on common materials.
  • Placing orders and approving invoices for payment.

Logistics:

  • Tracking deliveries from suppliers and providing estimated arrival to relevant people.
  • Co-ordination of all deliveries and pick-ups in support of the installation team.
  • Organising collections and deliveries from international suppliers.
  • GRN of all deliveries for accurate and efficient invoicing.
  • Return and tracking of faulty good under warranty and ensuring credit is received.

Warehouse:

  • Ensure all stock, parts and materials are accounted for and tracked form Good inwards to Good Outwards.
  • Monitor and governance over all consumable from van stock, to parts, cylinders and compliance equipment.
  • Overall responsibility for two Warehouses in Clare and Dublin.
  • Fleet Management from Lease and asset management to maintenance, tax and insurance.
  • Supervisor and guide Warehouse support staff

Contract Support:

  • Completion of annual audit.
  • Producing claims for the invoicing of installation projects with the project manager, issuing of invoices and following up on payment.
  • Building and maintaining a good relationship with suppliers and dealing with key accounts.
  • Work closely with supervisors, estimation team, project managers and managing director.
  • Administration duties such as post, ordering stationary, organising accommodation and travel for business trips.

Essential Criteria for the Role:

  • Purchasing, invoice, financial experience – 5+ years.
  • Experience with SAGE or similar accounting system.
  • Logistics experience – 3+ years.
  • Warehouse experience – preferable.
  • Communication and stakeholder management skills.
  • Administration skills.
  • Microsoft Excel, Word, and Outlook.
  • Ability to communicate effectively, both verbally and in writing, with a wide variety of internal and external customers.
  • Ability to handle multiple tasks while maintaining attention to detail and accuracy.
  • Ability to prioritise their workload and flexible to react to changes in business priorities.
  • Confidentiality of information.
  • Ability to work effectively on own initiative and in a team environment.

Desirable Criteria:

  • Experience in the construction industry.
  • Experience in Supply Chain Management.
