We are seeking a dynamic and highly organised Office Administrator to join our vibrant team. As a cornerstone of our office operations, you will ensure that our workplace runs seamlessly, supporting our recruiters to connect top talent with leading organisations. We are open to someone on a full time or part time basis

Key Responsibilities:

  • Manage and maintain office systems, including filing systems and data management.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Prepare and edit documents, reports, and presentations as needed.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Ensure the office is well-maintained, organised, and adequately supplied.
  • Manage office supplies inventory and place orders as necessary.
  • Coordinate maintenance and repair of office equipment.
  • Liaise with building management and other vendors.
  • Assist recruitment consultants with administrative tasks related to the recruitment process.
  • Maintain and update candidate and client databases.
  • Assist in posting job vacancies on various job boards and company website.
  • Assist with basic bookkeeping tasks such as invoicing and expense reports.
  • Assist with onboarding of new employees.
  • Assist in organizing company events and training sessions.
  • Greet visitors and provide assistance as needed.
  • Handle client and candidate inquiries professionally and efficiently.

The ideal candidate:

  • Proven experience as an office administrator, office assistant, or relevant role.
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook, in particular).
  • Familiarity with office management procedures and basic accounting principles.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and problem-solving skills.
  • Exceptional communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Location: Grand Canal Dock. On site
